Logical deletion (“soft delete”):
When does this take place?
By default in Panorama logical deletion takes place 12 months after a participant (candidate) has joined a project and either did not accept the GDPR or accepted it after the established period. This time period can be modified by the client when creating their Panorama account.
What is it?
Once this period of time has passed, the participant’s (candidate’s) data will be deleted from the account, but not from Panorama’s database. This type of deletion is reversible.
Anonymization:
When does this take place?
By default in Panorama, this time period is 36 months, however, it can be modified by the client when creating their Panorama account.
This period of time begins from the date of logical deletion of data until the time when the personal data of the participant (candidate) is anonymized. Only the participant (candidate) data will be subject to this automatic anonymization process.
What is it?
It is a process in which the data of participants (candidates) becomes anonymous as the personal data is deleted. This data will continue to be used for metrics in an anonymous way. This process is irreversible.
IMPORTANT NOTE: Logical deletion and anonymization are not automatically applied to internal participants (employees) or external participants, except in the following cases:
- If an internal participant (employee) or an external one is logically deleted manually, the automatic anonymization process will be applied when the time comes (at the time configured in the client).
- An internal participant (employee) or external participant can always be anonymized manually if required by the client.
Participant (Candidate): A person whose email domain is not the company’s corporate domain, which had to have been previously included in the setup of a client’s Panorama account. They will be marked as a Candidate.
Internal participant (Employee): A person whose email address contains the company’s corporate domain, which had to be previously included during the setup of the client’s Panorama account. This person will be marked as an employee.
External participant: People are marked as “external” when they are added to the platform. The person labelled as external means that this is someone outside your organization but has access to your Panorama account for some reason (external consultants to evaluate your participants, partners helping to create projects, etc.).
